SYSMEX:
Transforming the company intranet from a document graveyard into a vibrant place to connect

How Sysmex Europe revitalised its sad, stale intranet into a people-first, dynamic hub of collaboration and engagement, uniting over 2,500 employees across EMEA as OneSysmex.
The Challenge
The intranet at Sysmex Europe had become a document graveyard. No longer seen as a place to find up to date information or a trustworthy source by the employee population, it had become a static and stale resource. At the same time, Sysmex Europe was looking to unite their teams across departments and geographies and create a space for knowledge sharing and engagement. The intranet could be just the place to do that - but not in this sorry state.
The Goal
To build a new intranet aligned with the OneSysmex vision — a platform that would be intuitive, attractive, up-to-date, easy to manage, and capable of breaking down silos across the network. A vibrant and evolving resource that would encourage participation, reinforce brand identity, and serve as a true connector of people and ideas.
The Solution
Get Co-Creative: We involved employees from all levels through surveys and fun and engaging workshops to design the intranet collaboratively.
Provide the Tools: We built on the existing SharePoint creating intuitive new templates, a fresh and modern visual identity, and providing content resources like a Leader Toolbox, a training hub, and plug-and-play launch campaign materials.
Agile Rollout: We decided to launch the new intranet as a Minimal Lovable Product (MLP) rather than with a ‘big bang’, gathering continuous feedback to refine and improve with each release.
The Result
The new OneSysmex EMEA intranet became a living, breathing part of how Sysmex collaborates and communicates, with a measurable impact:
What changed for people
Simpler content and structure, so colleagues spend less time searching and share knowledge more easily across affiliates and functions.
A personalised landing page that brings relevant news, events, favourite sites and tools into one place.
A clear channel strategy: Microsoft Teams for working together, the intranet for information that matters to everyone, and Viva Engage for informal exchange.
Built to keep getting better
Navigation cut from more than 2,100 sites, with their many sublevels and hidden pages, to fewer than 150, so the matrix structure is easy to follow by function and region.
A platform that evolves with its users, turning their ideas into practical tools: job openings, a compliance hotline, gift and hospitality declarations, birthday lists and a blackboard.
A living community where people like, share and comment on articles and post their own news, supported by the 100 site owners among them, coached to be better storytellers.
And people kept coming back
The intranet grew from 53,000 actions in its first 30 days to 203,000 in the most recent month, with a daily rhythm of 2,500 to 10,000 actions. For an intranet, sustained use is the real test of whether it earns its place.
